Zeplicity is a booking, scheduling, and client-management platform operated by IdeaZone Operations LLC ("we", "us"), doing business as Zeplicity. Businesses ("hosts") use Zeplicity to let their own clients schedule, pay for, and manage calls and appointments. This policy explains what personal information we collect, why we collect it, and how we use it.

Information we collect

When you use a Zeplicity booking page or client portal, we may collect:

  • Contact details: name, email address, and optional phone number provided on the booking form.
  • Guest email addresses: if the person booking adds guest invitees, we collect those email addresses to send calendar invitations and booking updates when a call is approved.
  • Booking information: preferred date and time, reason for the meeting, timezone, booking status, and (for recurring series) the pattern and date range requested.
  • Payment information: when a booking, package, or subscription requires payment, card details are entered directly into Stripe and never pass through or get stored on our servers (see Payments below).
  • Client portal activity: clients may log in to a per-host portal via a passwordless emailed link to view their own upcoming bookings, credit balance, and payment history.
  • Host account data: for businesses and their team members who log in to manage bookings, including profile settings, connected calendar accounts, and payment routing configuration.

Contacts & CRM

When someone books a call (or is added as a guest on a booking), we create or update a contact record for that email address so the host can manage the relationship, view booking history, and keep internal notes about conversations. Each contact is linked to the relevant host and their associated bookings, packages, and subscriptions.

Internal notes and call outcomes (for example, completed or no-show) are stored for host use only and are not shown on public booking pages.

Payments

Card payments, package purchases, and subscriptions are processed by Stripe via Stripe Connect, directly on the host's own connected account. We never see or store full card numbers. Stripe handles that entirely. We do store payment metadata needed to operate the service: amount, currency, payment status, a Stripe-hosted receipt link, and the card's last four digits (for your own reference, e.g. in your payment history). Refund and credit-restoration rules are configured per host and applied automatically according to that host's stated cancellation policy.

Calendar access

A host may optionally connect a Google Calendar or Microsoft Outlook account. If connected, we use that access strictly to: check existing events for scheduling conflicts before showing available times, create a calendar event when a booking is approved, and update or delete that event if the booking is rescheduled or cancelled. Calendar data is never used for any other purpose, and is never shared with third parties beyond the calendar provider itself.

How we use information

  • Processing and managing booking requests, including recurring series
  • Sending transactional emails (confirmations, approvals, declines, cancellations, reminders, receipts, and rebook invitations)
  • Creating calendar events and inviting attendees when bookings are approved
  • Processing payments, packages, and subscriptions via Stripe
  • Providing the client portal so clients can view their own bookings, credits, and payment history
  • Notifying hosts and their team members via email or Slack
  • Maintaining contact history and internal notes for follow-up
  • Improving reliability and security of the platform

Third-party services

We use trusted providers to operate the service, including:

  • Supabase (database and authentication)
  • Stripe (payment processing, via Stripe Connect on each host's own account)
  • Resend (transactional email)
  • Google Calendar and Microsoft Outlook (optional calendar sync for hosts)
  • Slack (optional notifications for hosts)

These providers process data on our behalf under their own privacy terms. Calendar providers only receive information needed to create or update events you approve. Stripe never shares full card details with us.

Retention

We retain booking, payment, and contact records for as long as needed to operate the platform, support ongoing relationships, meet accounting/tax obligations, and meet other legal or business requirements. You may request deletion of your personal data by contacting us, subject to what we are required to retain for payment or legal record-keeping purposes.

Your choices

You can cancel a booking (single or part of a recurring series) from your client portal or the link in your confirmation email. Guest invitees receive calendar invitations only when a booking is approved. If you do not want guest emails stored, do not add guests to a booking request.
